PROJECT | Immunization Records

ROLE | Researcher

DURATION | Five Weeks

The Problem

  • In California all the immunization forms of children are either manual (paper) or fillable (online) pdf.

  • Staff required to enter data , keep tracks (manually) of all current immunization for all children and staff.

  • All California Child Care Organizations require to report on Immunization annually. (By Fall  each year)

  • Reporting is Manual Data Entry Using CDPH Forms.

Solution

  • Digitize all Immunization Forms with easy Data entry and integration with IIS.

  • Automated Notification for tracking current immunization requirements for all children and staff.

  • Automated and easy reporting.

Research - Early Insights

Initially spoke to two childcare organizations: 1 Owner infant and preschool canter, 1 Director of a large private K-8 school.

  • Both expressed desire to replace manual records keeping

  • Both could not identify a single solution that currently provides immunization record keeping.

  • Child Center used manual Excel Spreadsheets and school uses robust Large vendor solutions.

  • Both expressed interest is seeing what this solution could offer.

Early Discovery

  • State IIS offers very complex solution to Immunization records that is more geared toward Healthcare providers.

  • DSS requires : "Blue Cards" to be kept in each child file.

ACCUDOX - INTEGRATE IMMUNIZATION RECORD SYSTEM

 - Strict Immunization schedule.

 -  Non-compliance results in penalty and is considered type of violation and is a public record which results in cost beyond penalty

-   Paper forms easily accessible.

 -  Annual reporting forms re manual and packet is sent out manual to be filled in and mailed back.

Research - Continued Insights

Week of phone interviews: spoke to over 50 private child care facilities in CA.

Discovery

  • Any facilities that serves children age 18 months  to 5 years old , do not care about notification and immunization record keeping beyond initial child enrollment and verification and immunization. Children between 28 months - 5 year old do not require mandatory immunization.

  • Majority of people interviews do not consider manual immunization record to be a problem and felt that paper state issued "Blue Card" is sufficient method.

  • Reporting is not considered a problem.

  • Record keepers spend very little on immunization record review and only as often as evry 3 months to as little as once a year.
